Getting started
How do I get started with Yenlio?
Start a free 14-day trial straight from the pricing page — pick a plan, create your account and you’re in within minutes, no payment details needed. Prefer a walkthrough first? Book a demo and we’ll tailor the trial to your setting. Either way, we help you import your children, rooms and staff, and you can be running registers and observations the same week.
Is there a free trial?
Yes. Every paid plan starts with a 14-day free trial, so you can try Yenlio with your own setting before committing. We’re welcoming a small number of settings at launch, so you start by requesting access: we review every request personally, and your 14 days begin the day we approve your account. No card or payment details are needed, and there’s no setup fee. Free Starter is free for as long as you use it.
How do I get the Yenlio app?
The Yenlio app is free on both stores — search for Yenlio or use the links below:
- Download on the App Store (iPhone and iPad)
- Get it on Google Play (Android)
You sign in with the same account you use on the web. Staff see the register, observations and care records for their rooms; parents see their own child’s day, invoices and messages. If your setting is new to Yenlio, request access or book a demo first — the app needs an account to sign in to.
Using Yenlio
What devices does Yenlio work on?
Yenlio works on phones, tablets, and computers. Practitioners typically use the mobile app to capture observations on the go, while owners and managers often use the web portal for invoicing, reporting, and administration.
The Yenlio app is free to download for iPhone, iPad and Android:
Sign in with the same account you use on the web — staff and parents each see their own side of Yenlio.
Will Yenlio help with Ofsted inspections?
Yenlio keeps learning journeys, assessments, accident, medication and safeguarding records continuously up to date. On Professional plans, Ofsted readiness shows where you stand across Ofsted’s evaluation areas all year, and Inspector Mode gives an inspector time-limited, read-only access to your live view — so you’re ready without a last-minute scramble.
Billing
Where do I manage billing and subscriptions?
Subscriptions and billing are managed here on the web, through your account on the Yenlio website — not inside the mobile app. This keeps pricing transparent and in one place. You can view invoices, update payment details, and change plan at any time.
How are parent payments collected?
On Professional plans, Yenlio’s automated invoicing can collect parent payments by Direct Debit through GoCardless, so fees arrive on time without you chasing them. Parents set up a secure mandate in the app, collections wait for their review window and pause if they query an invoice. Invoices are built from each child’s contract and funded hours. GoCardless transaction fees apply.
Does Yenlio handle funded hours?
Yes. Funded entitlement is tracked separately from contracted hours, so government funding is never confused with what you bill a parent, and invoices deduct funded hours before anything else. On Professional plans the Funding Centre goes further: parents sign their funding declaration on their phone, you build your termly council headcount in the portal’s own format, and a guided checklist walks you through entering each claim on your council’s portal.
Can I cancel at any time?
On a monthly rolling plan, yes — cancel whenever you need to. On a 12-month commitment you pay a lower monthly price in return for a 12-month minimum term: it’s still collected monthly by Direct Debit, never upfront, and the plan runs to the end of that term.
Privacy & security
How is children's data kept safe?
Children’s data is handled under UK GDPR, the Children’s Code, and the EYFS statutory framework. Data is hosted in the UK, encrypted, access is controlled by role, and each setting’s information is strictly separated from every other setting’s. Photos are never behind a public link, and each parent chooses how their child’s photos may be used — the most careful answer always wins.
Who is the data controller?
Your setting is the data controller for the children’s information you hold. Yenlio acts as a data processor on your behalf, handling that information only as your setting instructs and as set out in our data processing terms. See the privacy policy for the full detail.
Does Yenlio use face recognition?
Only where a setting switches it on, and only for children whose parents have given explicit consent. Face recognition is used for one thing: making sure a child is never shared in a post with families they shouldn’t be. It never tags children automatically, never posts anything by itself, and is never used for attendance, door access, CCTV or anything else.
A child’s face reference is made from photos the setting already holds, and it’s deleted as soon as consent is withdrawn or the child leaves. Any parent with parental responsibility can withdraw consent at any time in the app. Full detail is in our privacy policy.
